Basics of HR processes in ETHIS
The employment level must nevertheless be entered as correctly as possible for an employment, because this controls in the background whether someone is insured against non-occupational accidents or not (see also information from protected page TurAktuell November 2018 (German)).
The accountable SNSF share and the non-accountable ETH share ("NV-Anteil") can now be recorded independently of the level of employment and is calculated automatically (see also information from protected page TurAktuell November 2018 (German)).
Each budget officer is now automatically the supervisor (HR authorisation) for all employees in their responsibility centre. They can delegate their HR “Supervisor” authorisation for a responsibility centre under them via protected page ETHIS (see also informationen from protected page TurAktuell November 2018).
With the introduction of the new Download Visitor Stay Directives, the project terms "registered guest" will be replaced by "long-term stay" and "unregistered guest" by "short stay". The long-term stay is regulated in detail in the new Visitor Stay Directive (Rechtssammlung ETHZ 515.2). For persons with a "long-term stay" and their organisation, the General Terms and Conditions for Visitor Stays at ETH Zurich now apply. The existing workplace [Arbeitsplatz] agreements will be transferred to the new system. If agreements are extended, this will be done in accordance with the new directive, which will be generously interpreted during a transitional period. Until the HR workflow is available in ETHIS, long-term stays can be applied for via a web form (available via protected page ETHIS). The new directive also regulates "short stays". This is assigned autonomously by the line and does not require any involvement from the Human Resources department.
While recording data or mutation the user guidance of the HR workflows in ETHIS is set up in such a way that the persons authorised to sign (budget officers) are displayed, can be selected and automatically get an e-mail for approval. This means that an employment or mutation must always be approved by the person with «Budgetverantwortung Anstellung» and the person with «Bugdetverantwortung Kosten».
If employment and costs are in the same area of responsibility, the budget responsibility lies with the same person. He/she is displayed in the HR workflow approval step for all items. In this case, the person responsible for the budget approves the employment and costs with a single click.
