Tips and Tricks for Microsoft Teams

Since summer 2020, all members of the ETH community have had the option of using Microsoft Teams. While some people are already familiar with this platform for digital collaboration, others are perhaps just getting to grips with it. This article presents some helpful tips, especially for new users.

Getting started: Register for Microsoft 365 / Teams

Microsoft 365 and Teams are available to all members of the ETH community as a communication and collaboration platform. However, to use Teams, you first have to set up what is known as a cloud subscription.

Create a team

To collaborate with other members of the ETH community – e.g. with your project or research group – it’s best to create your own team in Teams. You do this using the provisioning tool. For details of where to find this app in Teams and how to use it to create a team, visit this support page.

Once you’ve created a team, you can make further adjustments, such as including a team image or changing the name. To do this, select the three dots (more options) to the right of the team name and click on “Edit team”.

Collaborate with people outside ETH

Collaboration and exchange with members of the ETH community is very easy using Teams. But what about guests – people who aren’t ETH employees, students or other members of the ETH community?

They might be guest lecturers, students from other universities, partners, suppliers or consultants. As a rule, they won’t have an ETH Zurich e-mail account. But it is still possible to collaborate via Teams with external people such as these.

A team owner can add people from other organisations to a team by entering their e-mail address. However, for this to work, that person must have a Microsoft account with Teams. Additionally, the organisation for which the person works must allow its members to contact other organisations through Teams. Some organisations do not allow this.

Before you begin collaborating, please take note: For security reasons, guests who gain access to an ETH team must set up external pagemultifactor authentication and enter this element each time they log in. Pease find here more information.
