Progress report & annual status conversation
Doctoral thesis supervisors conduct an annual status conversation with their doctoral students. This consists of two separate parts. The basis for the discussion is the progress report.
For the annual status conversation, we recommend:
- Use the opportunity to set long-term goals and take a look at the entirety of the collaboration
- Beyond the day-to-day exchange, the focus should be placed beyond the current goals and details of the research project in a larger scientific context
- Use the opportunity for mutual feedback beyond the daily scientific work
- Review the timetable together with the doctoral students with the aim of completing the research project and the doctoral thesis within 4 years if possible
The annual progress review is divided into 2 separate parts:
- Scientific progress based on the progress report
- Appraisal, career and personal development
After definitive admission, doctoral students write an annual progress report on the status and planned progress of their research work, as well as on any significant deviations from the research project described in the doctoral plan.

1. Scientific progress
The first part deals with the doctorate and the research work. The progress report written in advance forms the basis for this interview. During the meeting, all points recorded in the doctoral plan, the next steps and any significant changes to the research project are discussed.
Especially towards the end of the doctorate and at any time when performance problems arise, it can be helpful to set clear, time-defined goals and record them in writing. Doctoral students are often overwhelmed at the beginning of the writing process and need support.
It is recommended to involve the second advisor in the first part. Other persons may also participate.
2. Appraisal, career and personal development
The second part is conducted as a development interview, which includes mutual feedback and the further development of competences. This part is conducted confidentially between the supervisor and the doctoral candidate.
Also ask about specific plans after the doctorate. Support your doctoral students in the further development of competences that are necessary for various career goals.
